A Space Request is for requests to add or modify campus space, including the acquisition of furniture or equipment for use in campus space, that triggers a major alteration or remodel of a space.
All allocation of space, moves, and relocations must be requested by a vice chancellor and approved through the campus space request process prior to occupation of space.
Examples of Space Requests
- New or additional space
- Change in use or function, reassign, vacate allocated space
- Alterations to allocated space (modifications, reconfigurations)
- Acquiring furniture and/or equipment to be used in allocated space that results in major space modification
- Temporary space

How to submit a Space Request

Read through the information on this page before beginning your request.

Go to the Space Request PowerForm and complete the requested signer information for your department. Do not edit the Space Planning Manager or VCFA fields.

Click "Begin Signing" and complete the Space Request Form as indicated. Once submitted, the form will automatically be routed to the next required signer.
Note that you do not need a DocuSign account to complete this form.
What happens after a request is submitted
Completed Space Requests are routed to the Space Planning Manager and Vice Chancellor for Finance & Administration (VCFA) for review. If the request meets the requirements of the Space Request process, the VCFA will then present the request to ELT for review and consideration.
Between summer and autumn quarters, ELT reviews the request within the context of strategic goals and mission alignment along with other submitted space requests.
ELT will then determine whether to hold, decline, or approve the request.
If held, the request may require more information, be considered in future planning, or be reconsidered after a predetermined time.
If declined, the request process stops.
If approved to move forward, Integrated Facilities Management develops a project scope, cost, and schedule of the requested project for ELT to review in detail.
Upon final executive approval, the request will be included for prioritization and recommendation during the annual budget development process.
What if my department provides funding for a Space Request?
Regardless of funding, all Space Requests must go to ELT for review and approval to ensure cohesive and consistent campus planning.
Grant-funded Space Requests should be reviewed prior to submission of grant proposals. We strongly encourage you to work with the Office of Research while developing your proposal to ensure space and other resource needs are accounted for.
