Charging admission or registration fees can be a great way for a Registered Student Organization to raise funds. Before you begin, review the policies below to learn how to fundraise the right way.
Fundraising Definition
Campus fundraising occurs when an RSO collects money or items while on campus. This includes the sale of items or food. However you fundraise, make sure you follow UW's policies for the activity.
Policies & Guidelines
- Approval: Complete an online RSO Fundraising Request Form to the Center for Student Involvement. Approval must be received before admission sales can begin. Please submit this form two weeks in advance of your fundraiser date to allow time for questions or revisions. Late submissions may not be reviewed in time.
- Approval Certificate: Once approved, the RSO will receive a paper certificate with the fundraiser's authorized status. The certificate must be posted wherever fundraising takes place.
- Proceeds: If the proceeds of the fundraiser are going to a non-University group charity, some additional review of the fundraiser may be required. When a Student Organization is fundraising for itself, the proceeds may not profit an individual member of the group. The Center for Student Involvement highly recommends establishing a group RSO bank account to handle fundraising proceeds.
- Funding: Events charging admission or registration fees may not use funds sourced from student fees, such as the Campus Event Fund or the RSO Operations Fund.
- Benefit to Students: The activity/event itself must provide a benefit to UW Tacoma students.
- Student-Initiated and Led: The fundraiser must be initiated by one of the officers of an RSO , and it must be student-led. Fundraisers should be not be primarily led or initiated by groups other than the RSO.
- Space Reservation: Campus fundraisers must be attached to a space request using the RSO Request form on 25Live.
- Cash Collection: If cash is present and being exchanged (given from one person to another), then this must be noted on your space request. Campus Safety officers will be notified and they may be required to be present during your sales. If officers are required, the associated cost is the responsibility of the RSO.
- Cash Handling: If cash if present, your RSO should have proper cash handling procedures in place. This includes securing your cash during/after the event, having a bank account to deposit the money if it's not being used right away, etc. The Center for Student Involvement has cash boxes available for check-out and we provide information online about starting a bank account for your RSO.
